JP Bookkeeping & Tax Services Inc. is in search of a full time Bookkeeping Manager. The successful candidate will be expected to perform the following:

a. As the Bookkeeping Manager, you will be running the bookkeeping department. Your professionalism and commitment to getting it Right will allow you to thrive in our company. The bookkeepers will report to you, and it’s your job to support them. You will make sure that all projects are moving along smoothly, offering assistance and instructions when necessary. You’re a resource for the team for questions, learning opportunities and client escalations.

b. Your workload also includes onboarding new clients in collaboration with the team. Your extensive experience will be utilized in creating strategy approach and jumping in on complicated areas. You will oversee and review all work completed by the bookkeepers and the quality of work lie with you.

c. Your strong technological experience and comfort using cloud accounting software such as QBO is required as well as being able to work with Sage 50 Desktop and Profile Tax Software.

d. You should feel confident you can look at any set of books, untangle it, and decide the best way to proceed. You have past experiences working professionally with multiple client projects. When taking on new clients, you will have to clean up and do audit-type work, while successfully creating a positive team environment.

Responsibilities Include the following:

a. Supporting 3-4 bookkeeping staff, including training new team members, helping with questions and escalations and fostering a company culture in line with our values.

b. Managing bookkeeping workload, making sure projects are completed and running smoothly, clear workflows and handing off to bookkeepers.

c. Overseeing completion of new client online systems setup, accounts cleanup, and developing clear workflows and handing off to bookkeepers.

d. Owning the bookkeeping processes, including using the Bookkeeping Spreadsheets and ensuring individual client processes are documented and up to date.

e. Supporting company growth and capacity by handling project and regular bookkeeping clients work as needed and assigned.

f. Reviewing bookkeepers’ work for accuracy and procedure compliance including providing feedback to bookkeepers and providing deliverables to clients.

g. Ensuring all government remittances are reported and updating the client’s spreadsheet. Managing year-end closing and preparation of financial packets for your manager. Serving as point person for client communications on problems, new projects or inquiries. Working on other operational projects as they come up.

h. As Bookkeeping Manager, you will have the responsibilities of completing the books for the very large companies until you are sure and ready to hand over to a bookkeeper who can handle the workload.

i. Oversee the daily, weekly, and monthly workloads of the bookkeeping team and report firstly to Ann Boll who is a Partner and the General Manager or to Joanne Pilon who is a Partner and HR Manager, Accounting Consultant, Tax Specialist.

j. Tax Support: Collaborate with Ann & Joanne to prepare and file tax returns on Profile Professional Tax Software accurately and on schedule.

JP Bookkeeping & Tax Services Inc. has a full time position open for a Senior Bookkeeper for 35 + hours per week.

Salary to be discussed with the successful candidate. Successful candidates must have over 5 years of experience and must have experience working in an accounting or bookkeeping firm.

A senior bookkeeper:

Manages the full accounting cycle, including accounts payable/receivable, payroll processing, and bank reconciliations, while also ensuring compliance with tax and government regulations like HST, Payroll Source Deductions, WSIB & EHT remittances. Key responsibilities include maintaining accurate financial records using computerized systems, preparing financial statements and tax remittances, assisting with cash flow forecasting, and potentially overseeing junior bookkeeping staff. Employers typically require a college diploma in accounting/bookkeeping or a combination of courses and extensive experience.

Accounts Payable & Receivable: Manage vendor invoices, process payments, record customer payments.

Payroll Processing: Calculate and prepare cheques or direct deposits for payroll, manage payroll systems, and ensure accurate benefits administration.

Financial Record-Keeping: Record financial transactions, maintain ledgers, and ensure accuracy in all financial entries.

Reconciliations: Reconcile bank statements, credit card accounts, loans and various other financial accounts.

Financial Reporting: Prepare and analyze financial statements, such as trial balances, balance sheet, profit & loss statements including general ledger entries, depreciation, and prepaid expenses.

Tax & Government Remittances: Calculate and process payroll, manage tax deductions, and complete timely tax filings (e.g., GST/HST, payroll remittance forms, WSIB, EHT). Etc.

Experience: In-depth knowledge of bookkeeping systems (manual and computerized) and double-entry bookkeeping principles. Must have previous experience working in an accounting or bookkeeping firm and working on multiple different sets of books.

Expertise in accounting software like QBO, Sage 50, Profile Tax Software, Microsoft Office 365, Excel & Word and other tools such as spreadsheets is a must. Ability to analyze financial data, identify trends, and provide actionable insights.

Strong written and verbal communication skills for client interaction and internal reporting.

High level of accuracy and thoroughness in record-keeping.

Ability to troubleshoot bookkeeping issues and develop effective solutions.
